Before Number Warm-Up: A Day-Zero Setup Checklist

Before number warm-up begins, confirm the outbound DID’s registration, business identity, callback routing, assignment, campaign purpose, monitoring owner, and initial daily cap. Day zero is the setup stage that makes the four-week schedule measurable.

A number is not ready simply because it appears inside the dialer. If registration is incomplete, the callback route is wrong, or several users believe they own the same DID, the warm-up record will not reflect a controlled launch.

Record the Number’s Identity

Create one inventory record for the new DID. Include the number, provider, acquisition date, registration status, intended business identity, assigned user or pool, market, and purpose.

Keep the main inbound business number and personal numbers separate from outbound prospecting inventory. The callback destination for the outbound DID should still lead to an appropriate business experience.

Complete Registration Before Production Use

Follow the applicable carrier, caller-identity, and business-registration process before warm-up calls begin. Retain confirmation and record the date and responsible owner.

Registration helps establish legitimate identity but does not guarantee that calls will always be answered or never labeled. It must be paired with healthy calling behavior and monitoring.

Day-zero stop condition: Do not begin production warm-up when registration, ownership, or callback routing remains unresolved.

Test Outbound and Return-Call Routing

Use an authorized test destination to confirm that the expected Caller ID appears and audio works. Then return the call to verify where it lands, what greeting the caller hears, and whether a message can be handled appropriately.

Document the result. Fix mismatched business names, broken extensions, or unavailable destinations before the number carries live outreach.

Assign the Warm-Up Stage and Owner

Mark the DID as entering Weeks 1–2 and apply the current cap of up to 20 calls per day under the ProspectBoss framework. The cap is a ceiling, not a requirement to force 20 attempts.

Name the person responsible for monitoring daily usage and deciding whether the number remains at its stage. Representatives should know who can change an assignment and who handles warnings or remediation.

Choose an Appropriate Initial Campaign

Use clean, approved records with useful contact history and local time-zone information. The campaign should support relevant, good-faith business conversations during suitable hours.

Prepare an accurate introduction, thoughtful voicemail language where appropriate, clear dispositions, and follow-up rules. Avoid rapid retries, double dialing, and launching several untested process changes at the same time.

Establish the Baseline You Will Monitor

Record the activation date, calls placed, live connections, meaningful conversations, connected duration, opt-outs, complaints, technical errors, and any label or number-health observations.

The baseline does not need to predict performance from a tiny sample. Its purpose is to establish traceable history so managers can see changes as the DID advances.

Ready for Day 1: Registered identity, tested routing, one visible owner, an approved campaign, the correct stage and cap, and a scheduled monitoring review.

The ProspectBoss 4-Week Number Warm-Up Method explains how activity increases across four stages. This day-zero checklist covers what should be in place before that schedule starts.

Frequently Asked Questions

What should happen before phone-number warm-up?

Complete registration, test outbound and return-call routing, document ownership, assign the initial cap, prepare the campaign, and establish monitoring.

Does registration mean the DID is fully warmed?

No. Registration and warm-up are separate parts of the number-management process.

Should the DID make exactly 20 calls on Day 1?

No. Twenty is the Weeks 1–2 ceiling in the ProspectBoss framework, not a mandatory target.

Who should own a warm-up number?

Assign a visible user or pool and a manager responsible for limits, monitoring, and escalation.

Can personal phones be used for warm-up?

No. Use dedicated registered business numbers and authorized testing and calling procedures.
