Real Estate ISA Onboarding Checklist for Team Leaders

A real estate ISA onboarding checklist should confirm that a new inside sales agent can use the team’s systems, understand each campaign, record accurate outcomes, and handle exceptions before working independently. Access to a dialer is only one part of readiness.

A new ISA may know how to make calls but still be unsure which questions belong in an initial conversation, which agent should receive an appointment, or what to do when a contact asks for something outside the ISA’s role. Onboarding should make those decisions clear before they arise on a live call.

This checklist is a suggested training process for team leaders. Adapt it to your brokerage’s approved procedures, the person’s responsibilities, and the tools your team actually uses.

Define the Role Before Teaching the Buttons

Write a short role brief explaining who the ISA supports, which campaigns they handle, and what outcomes they own. Distinguish appointment coordination and information gathering from questions that must go to an authorized agent or manager.

  • Which contacts and lead sources belong to this ISA?
  • What information may they request and document?
  • Which questions require escalation?
  • What makes an appointment ready to schedule?
  • Who provides coverage when the assigned agent is unavailable?

Do not ask the ISA to improvise boundaries. Give them an approved escalation phrase, such as, “I’ll have the appropriate team member address that question,” and an actual person or queue to send it to.

Set Up Access and Verify the Workspace

Provide individual access through your approved account process, with permissions appropriate to the role. Identify which system holds the authoritative contact record when the team uses more than one platform.

Using a test record, confirm that the ISA can find contact history, identify the current owner, enter a note, select an outcome, and create the permitted next action. Check calendar visibility and time-zone settings before appointment work begins.

Have the responsible administrator confirm the calling configuration and assigned business numbers. The ISA should know whom to notify about audio problems or number-health concerns, rather than choosing replacements or changing settings without authorization.

Teach Campaign Context Separately

A fresh website inquiry and an older database record need different preparation. For each assigned campaign, provide a brief covering the source, conversation purpose, approved opening, relevant questions, and possible next steps.

Include how the ISA checks contact restrictions and preferences before outreach. Being assigned a record is not a reason to skip those checks.

Campaign readiness test: Ask the ISA to explain why this person is in the campaign, what is known from the record, what remains unconfirmed, and which next actions are appropriate.

Start with a manageable campaign scope. Adding every lead type at once can make it difficult to tell whether confusion comes from the software, the script, or the campaign’s purpose.

Practice Exceptions, Not Just Ideal Conversations

Use fictional records and role-play to check judgment without exposing real contacts to training mistakes. Include situations that require the ISA to pause or change direction.

  • A person says another team member already called.
  • A contact requests no further outreach.
  • The preferred appointment slot is unavailable.
  • The record contains contradictory notes.
  • A prospect asks a question outside the ISA’s approved role.
  • A caller wants a later conversation but has not agreed to a specific time.

For each scenario, ask the ISA to demonstrate both the conversation and the record update. Saying the right thing is not enough if the next task sends another rep down the wrong path.

Use a Demonstration-Based Readiness Check

Before independent calling, have the ISA complete one end-to-end test: open a suitable record, explain the purpose, handle a sample response, document the outcome, and assign the next action correctly.

Mark each item as demonstrated or needing more practice. Avoid treating attendance at a training session as proof of readiness. If one skill is incomplete, revisit that skill instead of repeating the entire onboarding process.

The ProspectBoss real estate ISA software page describes calling, contact history, tasks, appointments, and reporting within an ISA workflow. This onboarding checklist helps a team prepare people to use such a workflow; it is not a claim that the software automatically trains or certifies them.

Review the First Independent Work

Review a small, relevant sample of records through approved supervision procedures. Look for accurate notes, appropriate next actions, and correctly handled exceptions. Give specific feedback and schedule another check for skills that need reinforcement.

Continue to provide a clear escalation route. Successful onboarding means the ISA knows when to act and when to ask—not that they never encounter a new situation.

Frequently Asked Questions

What should a real estate ISA onboarding checklist include?

Cover role boundaries, system access, campaign context, contact procedures, practice scenarios, and a demonstrated readiness check.

How long should ISA onboarding take?

Use demonstrated readiness rather than a universal number of days. Experience, campaign complexity, and system familiarity affect the support needed.

Should a new ISA learn every campaign immediately?

Start with a manageable scope and add campaigns when the ISA can explain and execute the relevant workflow.

Can a virtual ISA use the same checklist?

Yes. Also verify remote access, communication channels, equipment, and how the ISA reaches a supervisor.

What if an ISA handles calls well but writes weak notes?

Practice documentation separately and check completed records before expanding independent responsibilities.
